Welcome to VisionArise

At VisionArise, we're committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our photography events platform, including our website, mobile applications, and related services.

1. Information We Collect

Personal Information

We collect information you provide directly to us, including:

  • Account Information: Name, email address, phone number, profile photos, and biographical information
  • Photography Profile: Camera equipment, photography style, experience level, portfolio links
  • Event Participation: Event registrations, attendance history, photos submitted to events
  • Location Data: When you allow it, coordinates or places from your device geolocation or maps you use on the platform—we do not infer your location from your IP address for these features
  • Payment Information: Credit card details, billing addresses (processed securely through Stripe)

Automatically Collected Information

  • Device Information: Browser type, operating system, device identifiers; IP addresses may appear in standard server or provider logs for security, abuse prevention, and operating the service (we do not use IP geolocation for product features)
  • Usage Analytics: Pages visited, time spent, features used, search queries
  • Location features: Device geolocation when you grant permission, places you select on the map, or addresses you enter—not IP-based geolocation
  • Cookies and Tracking: Session cookies, preference cookies, analytics cookies

User-Generated Content

  • Event Photos: Images you submit to photography events and challenges
  • Reviews and Comments: Feedback on events, comments on community posts
  • Event Descriptions: Information you provide when creating events

2. How We Use Your Information

We use your information for the following purposes:

  • Platform Services: Provide, maintain, and improve our photography events platform
  • Event Management: Process event registrations, manage attendee lists, facilitate event communications
  • Community Features: Enable networking between photographers, sharing of work, and community discussions
  • Location features: Show nearby events and suggestions using location you enable, enter, or pick on the map—not from IP address alone
  • Personalization: Recommend events, challenges, and content based on your interests and location information you provide or enable
  • Communication: Send event updates, newsletters, and important platform notifications
  • Analytics: Understand usage patterns to improve our services
  • Legal Compliance: Comply with applicable laws and regulations

3. Information Sharing and Disclosure

We are committed to protecting your privacy and will not sell, rent, or trade your personal information. We may share your information in the following limited circumstances:

Event Organizers

When you register for an event, we share your name and contact information with the event organizer to facilitate your participation.

Service Providers

We use third-party processors to run the platform: Stripe (payments), WorkOS (sign-in), PostHog on its EU infrastructure (product analytics and session replay, only after you accept analytics cookies), Vercel (hosting), Cloudflare R2 (image storage), Google Maps and Mapbox (maps), and OpenAI (optional AI-assisted drafting when you use features such as Blueprint generation). Each receives only what it needs for its function. We do not use Google Analytics.

Legal Requirements

We may disclose information if required by law, court order, or government request, or to protect the rights, property, or safety of our users or the public.

Business Transfers

In the event of a merger, acquisition, or sale of assets, user information may be transferred as part of the transaction.

4. Data Security

We implement industry-standard security measures to protect your personal information:

  • Encryption: All data is encrypted in transit using SSL/TLS protocols
  • Secure Storage: Personal information is stored on secure servers with access controls
  • Payment Security: Payment information is processed through PCI-compliant payment processors
  • Access Controls: Limited access to personal information on a need-to-know basis
  • Regular Audits: We regularly review and update our security practices

While we strive to protect your information, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to maintaining the highest standards of data protection.

5. Your Rights and Choices

You have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Update or correct inaccurate information in your account
  • Deletion: Request deletion of your account and associated data
  • Portability: Request a copy of your data in a machine-readable format
  • Opt-out: Unsubscribe from marketing communications
  • Location Services: Control location permissions in your device settings
  • Cookies: Manage cookie preferences through your browser settings

To exercise these rights, contact us at [email protected]. We will respond to your request within 30 days.

6. International Data Transfers

VisionArise is established in Romania and operates under EU law. We host and process your data in the European Union wherever we can: our analytics run on PostHog's EU infrastructure and our hosting is EU-based.

Some processors are established outside the EEA — notably Stripe, WorkOS and OpenAI. Those transfers rely on the European Commission's Standard Contractual Clauses, and where applicable the EU-US Data Privacy Framework. You can ask us for a copy of the safeguards that apply to a specific transfer.

7. Children's Privacy

Our services are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.

8. Cookies and Tracking Technologies

We use cookies and similar technologies to enhance your experience:

  • Essential Cookies: Required for sign-in, security and basic platform functionality. These are set without consent because the service cannot run without them.
  • Analytics Cookies: PostHog, set only after you accept in the cookie banner. Declining leaves them unset.
  • Preference Cookies: Remember your settings, such as language and theme.

We do not run advertising or marketing cookies, and we do not sell or share personal data for advertising. You can change your analytics choice at any time through the Analytics Settings button, or clear cookies in your browser.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable laws. We will notify you of any material changes by:

  • Posting the updated policy on our website
  • Sending an email notification to registered users
  • Displaying a prominent notice on our platform

Your continued use of our services after any changes constitutes acceptance of the updated Privacy Policy.
